Update Profile & Contact Information
This guide explains how to update your personal details, contact information, and MFA settings in Microsoft 365, Outlook, and other connected systems.
1️⃣ Update Information in Microsoft 365 (Office.com)
- Go to portal.office.com and sign in with your work or school account.
- Click your profile picture in the top-right corner → select View account.
- Under My Account, choose Personal info.
- Edit fields such as Display Name, Job Title, Department, or Contact Number.
- Save your changes. Updates can take a few hours to appear in Outlook, Teams, and SharePoint.
Tip: Some profile fields may be read-only because they sync from your company’s Active Directory or HR system.
2️⃣ Update MFA & Security Contact Info
- Go to mysignins.microsoft.com/security-info.
- Add or update your:
- Phone number
- Alternate email
- Microsoft Authenticator app
- Remove outdated methods (e.g., old phone or email).
- Keep at least two authentication methods registered — this prevents lockouts if you lose one device.
Good Practice: Review your security info every few months to ensure recovery options remain current.
3️⃣ Update Your Profile Picture
- Open Outlook on the web.
- Click your profile photo in the top-right corner → Change picture.
- Upload a new image and click Save.
- Your new photo syncs automatically to Outlook, Teams, and other Microsoft apps.
Note: For best results, use a clear, square image at least 96x96 pixels in size.
4️⃣ For IT or HR-Managed Fields
Some fields — such as Job Title, Department, or Manager — are typically updated by your organization’s IT or HR department. These values are synced from Active Directory or your HR system and cannot be changed manually.
Warning: Do not attempt to modify directory-synced information via PowerShell or scripts unless authorized by your IT administrator.
